Systems of Record
The authoritative source for a given data type (e.g., CRM for deals, MAP for campaigns). RevOps is responsible for defining and enforcing which system owns what.
Systems of Record are the authoritative, single source of truth for specific categories of revenue data. Each system owns a defined data domain (like accounts, contracts, or invoices), and all other tools either reference or sync from it rather than maintaining their own independent version.
Common Revenue Systems of Record
- CRM (Salesforce, HubSpot) – System of record for accounts, contacts, opportunities, and pipeline.
- MAP (Marketo, HubSpot Marketing) – System of record for marketing engagement, lead scoring, and campaign data.
- Billing/CPQ (Zuora, Stripe, DealHub) – System of record for contracts, pricing, invoices, and revenue details.
- CS Platform (Gainsight, ChurnZero) – System of record for customer health scores, renewals, and success plans.
- HRIS – System of record for employee data used in quota setting and territory assignment.
- Data Warehouse (Snowflake, BigQuery) – System of record for historical, cross-functional analytics and consolidated reporting.
Why Systems of Record Matter
When multiple tools store the same data independently, values diverge: revenue in CRM, billing, and finance systems may all disagree. By clearly designating a single system of record for each data type, organizations eliminate ambiguity and data conflicts, ensuring consistent reporting and decision-making.
System of Record Principles
- Single ownership per data type: Every data type has exactly one system of record.
- Read vs. write separation: Other systems may display or consume the data but should not modify it independently.
- Outbound sync direction: Data flows from the system of record outward to other systems.
- Change at the source: Updates are made in the system of record and then propagated downstream.
- Ongoing governance: Regular audits verify that downstream systems remain aligned with the system of record.
RevOps Application
Revenue Operations (RevOps) defines which system is the system of record for each data domain, designs and configures the integration architecture, and monitors data consistency across tools. This governance is foundational and enables accurate reporting, forecasting, attribution, and all other RevOps capabilities.
